Pre-16 Re-opening and plans for the remainder of the academic year. 

Detailed below are Inclusion Hampshire’s plans for reopening and the rest of the school year

For Parents/Carers of Year 11s

Year 11s’ last day with Inclusion Hampshire is Friday 26 June 2020 (this is the same for all Year 11s across the country).

To see all of our Year 11s before this date, we will be welcoming Year 11s back to Inclusion Hampshire on Thursday 18 June 2020. A second, final day will also be available to Year 11s on Thursday 25 June.

These two days will provide a chance for learners to catch up with members of staff, say goodbye properly and allow all of the Inclusion Hampshire team to wish them well for the future. We will also be supporting Year 11s to ensure they have their pathway for September in place, whether this is at college or through an apprenticeship, and feel prepared for their next steps.

 For the remainder of the week learners will be expected to access Google Classroom and members of staff will continue their wellbeing phone calls and emails.

As part of our safety measures, Year 11s will be split into two groups to ensure that learner numbers stay below 6 per group. Session times will be as follows:

  • Session 1: 10am-12pm
  • Session 2: 2pm-4pm

This will ensure that learners do not crossover with one another and provide staff a suitable amount of time to conduct our enhanced cleaning procedures.

Parents/ carers will be contacted with a detailed timetable for the individual child – which will try to mirror their former timetable prior to Covid-19 as much as possible. 

Finally, Year 11 learners will be awarded Functional Skills results this year based on a centre assessment grade. We continue to wait on details of this from our exam board, OCR, and will be in contact about this separately.


For Parents/Carers of Years 7-10 

We will be welcoming back those learners who are in Years 7, 8, 9 or 10 to Inclusion Hampshire from Tuesday 30 June 2020.

We will be open on Tuesdays, Wednesdays and Thursdays and learners will attend one day each week. Only one group per day will attend to prevent any crossover between groups and provide staff a suitable amount of time to conduct our enhanced cleaning procedures. Each child will be provided with a personalised timetable.

From Tuesday 30 June until the end of term, the day a learner is timetabled to attend may change. This is to ensure that everyone has the opportunity to access our music provision and counselling services.

Sessions will remain two hours long. These sessions are not intended to be academic and will be focused on re-establishing relationships with learners, listening to their experiences and anxieties and addressing learning needs related to Google Classroom.

For the remainder of a learner’s week, they will be expected to continue home learning using Google Classroom. Staff will continue to make wellbeing phone calls and emails to students.


Return to Education Plans

All of us recognise how disruptive, challenging and upsetting the Covid-19 pandemic has been and returning to education is going to be equally difficult. 

In order to meet the needs of our learners successfully, and to achieve a smooth and positive long-term return to education, our team is working to design a personalised plan for learners in Years 7-10. Each plan will begin in June when we reopen and remain in place for next year, evolving as necessary.

These plans will continue to be reviewed and adapted based on feedback and learner needs. 

Please note, our reopening could be subject to change if the government’s advice changes for any reason.  Parents/ carers and Learners will be contacted if this is the case.

Safety Measures 

To ensure the safety of all our learners and staff we are going to implement health and safety procedures that will mean Inclusion Hamsphire looks different to our learners. We recognise that they will need time to accept and adapt to these changes. As a team, we will be preparing learners for these changes via phone calls, emails and on Google Classroom but if I could ask for your support in communicating these changes it will help achieve a successful return to education for each learner. 


Minimising exposure to Covid-19

We will be adopting the following procedures to minimise the spread of Covid-19 and to protect the health of its learners and members of staff:

  • If your child is unwell, in any way, please do not transport them to Inclusion Hampshire for their session. Symptoms for Covid-19 are varied and all our other safety procedures will be undermined if a learner attends whilst unwell.
  • Please call Inclusion Hampshire on 01256 760800, or email a member of staff, to inform us they will not be attending
  • Inclusion Hampshire members of staff will be calling earlier in the week, prior to a learner’s session, in order to verify their wellness and suitability to attend.
  • As mentioned in earlier communications, if a learner is shielding (“clinically extremely vulnerable”), or a member of the household is shielding, please let us know so that we know not to expect them during this first stage of reopening. The same applies for those who are “clinically vulnerable” although you may be happy for them to attend if they fall into this group.
  • A medical form needs to be completed before your child can return to Inclusion Hampshire. If you have any difficulties completing this, please contact Jane or myself. We will be more than happy to help.



We are asking that all parents transport their children to Inclusion Hampshire.

The reason we have taken this decision is to mitigate risks we are unable to accurately assess, such as taxis and public transport. Similarly, this minimises the number of people each learner will come into contact with on their journey to Inclusion Hampshire.

Outside Inclusion Hampshire’s entrance we will have designated spaces to wait once you and your child arrive. We are requesting that you remain with them until we have welcomed them in (you will not be able to accompany them inside). The arrival process may be time consuming because we will need to maintain social distancing for learners arriving and entering the building one by one. 

To help simplify this for learners, members of staff will be creating instructional videos of this procedure to visually demonstrate what is expected of them when they arrive.

Additional health and safety precautions:

  • There is only one group on site each day so there will be no crossover with learners from another group.
  • We are introducing reduced group sizes. Groups will be no larger than 8 learners
  • Internal doors that are not fire doors, and where it is safe to do so, will be propped open to minimise touching of door handles
  •  Inclusion Hampshire has only the required number of staff to deliver sessions on site. Administrative staff will be minimised to reduce the number of individuals on site.

On-site safety

Communal area:

  • Social distancing of 2 metres will be implemented and expected. Members of staff will demonstrate to learners what 2 metres looks like on site.
  • Sessions will be delivered in areas of adequate size to allow social distancing.
  • Tables and seating areas to be 2 meters apart and marked out to ensure distancing is maintained.
  • Separate resources packs, e.g. stationary, laptops, work books will be made available for each group, to be cleaned and stored away at the end of each session.
  • Teaching rooms to be used for 1-1 sessions only and be assigned to a particular learner and staff member.
  • Windows will be opened to maximise ventilation.
  • Corridors and stairs to be used by one person at a time to ensure social distancing.
  • There will be visual displays and guidance located around the area to remind learners of expectations and safety procedures.


  • Learners will access the kitchen for handwashing only. This will be one person at a time.
  •  Handwashing guidelines to be displayed throughout the site.
  • Liquid antibacterial soap and paper towels will be provided for mandatory handwashing.
  • Everyone, staff and learners, are expected to use hand sanitiser on returning to the teaching area.
  • Facilities will be cleared daily by Contract Cleaners.
  • Touch points will be cleaned during the day as per the Cleaning Plan (see attached document)
  • If learners would like a drink or something to eat we will continue to provide this. A designated member of staff will be able to enter the kitchen and use disposable gloves to do this.


  • Toilet facilities are to be used by only one person at a time. Staff will monitor toilet breaks throughout the session.
  • Liquid antibacterial soap and paper towels will be provided for mandatory handwashing.
  • Everyone, staff and learners, are expected to use hand sanitiser on returning to the teaching area.
  • Facilities will be cleaned daily by Contract Cleaners.
  • Touch points will be cleaned during the day as per the Cleaning Plan (see attached document)


Once a learner has arrived and been welcomed they will not be able to have breaks off-site until the end of their session. This includes going to local shops or going for walks.

If your child smokes, they will be expected to do this before they arrive and after they have left Inclusion Hampshire’s site. Learners cannot smoke outside Inclusion Hampshire’s main entrance.

Please ensure that those to whom this applies understand this clearly before their first day.

Music/Counselling Sessions

  • Tables and seating areas to be 2 meters apart minimum and marked out to ensure distancing is maintained.
  • Teaching rooms to be used for 1-1 sessions only and be assigned to a particular learner and staff member.
  • Windows to be opened to maximise ventilation.
  • If learners want to share their music with another learner, or a member of staff, only a music tutor and that other individual can be in the room. There is to be a maximum of 2 people in the room at any one time to maintain social distancing.
  • Each singer will have their own replaceable foam mic covering.
  •  There is now a longer cable to allow the singer and TV (used for reading lyrics) to be further away from the music tutor and laptop.
  • All other music equipment will be cleaned thoroughly after each use.

Face coverings

  • It is at the discretion of each individual as to whether they would like to wear a face covering.


Actions if a learner presents with symptoms of Covid-19

Behaviour expectations

All of us are mindful of how difficult it might be for learners to return to education after so long at home. Interacting with people outside of their household may cause stress and anxiety. To help address these concerns, we will be providing individualised Return to Education Plans, as well as instructional videos, to help explain the changes learners will experience.

Similarly, the experience of returning to school, as well as all that has happened over the  past months, will mean that we continue to be adaptable and flexible to the needs of our learners, however this presents.

Nevertheless, there are some expectations that are non-negotiable as they ensure the safety of others. Examples of this include: refusal to wash hands on arrival, leaving site during a session or wilful violation of social distancing. We have written an addendum to our Behaviour Policy to reflect this.

In these circumstances, a member of senior management will be in contact. If a learner refuses to wash their hands, or leaves the site during a session, they will not be allowed to remain on site. A member of staff will call immediately to inform you and ask you to collect your child. Following this incident, we will discuss whether it is appropriate for them to return for future sessions.
